1. Processing during email analysis

When you send or forward an email to hello@analyzemy.email, we process that message in order to carry out the technical analysis you requested.

What is stored:

  • all message headers, including sender address, subject, Message-ID, date and the complete Received chain
  • the IP address of the sending server and the information derived from it (reverse DNS, ASN, operator)
  • DNS records of the sender domain (SPF, DKIM, DMARC, MX, BIMI, MTA-STS, TLS-RPT, DANE)
  • transport encryption details (TLS version, cipher, key strength)
  • the links contained in the message body plus the file type and name of attachments
  • the results of all checks performed and their individual runtimes

What is not stored: the actual text and HTML content of the message and the attachments themselves. Both are processed transiently for the analysis only and then discarded.

Legal basis: Art. 6(1)(b) GDPR — processing serves to provide the service you actively requested. Where header data of third parties is included (e.g. in forwarded messages), processing is based on Art. 6(1)(f) GDPR; our legitimate interest lies in performing the requested security analysis.

2. Disclosure to third parties during analysis

The analysis requires queries to external services. The following data is transmitted as technically necessary:

  • DNS blacklists (including Spamhaus, SpamCop, Barracuda, SORBS, UCEProtect): the IP address or domain being checked, in the form of a DNS query
  • Team Cymru: the IP address being checked, to determine ASN and operating organization, likewise via DNS query
  • Authoritative DNS servers of the domains being checked, for all record lookups
  • Mail servers of the checked domain: an SMTP connection is opened to test STARTTLS and the certificate
  • Web servers: retrieval of the MTA-STS policy and requests to the links contained in the message to verify reachability

These queries contain no content from your message. Some of the operators named are based outside the EU; transmission is necessary to perform the requested service (Art. 49(1)(b) GDPR).

3. Reply email and report

The result is sent back to the sender address. Time of dispatch, recipient address, subject and delivery status of this reply are logged for troubleshooting and abuse prevention.

The detailed report is available under a randomly generated 24-character ID. That ID is not guessable, is never linked publicly, and report pages are blocked from search engines via noindex. Anyone who knows the full URL can, however, open the report — so treat the link as confidential.

4. Use of this website

When you visit this website, the web server logs access data (IP address, time, requested address, status code, browser identification). The legal basis is Art. 6(1)(f) GDPR; the legitimate interest lies in the secure operation of the website.

We use no cookies, no web analytics tool, no advertising networks and no external fonts or scripts. All resources are served from our own server. Your language and colour scheme preferences are stored exclusively in your browser (localStorage) and are not transmitted to us.

5. Retention

Analysis reports are stored until you request their deletion. Server logs are deleted after no more than 30 days. DMARC aggregate reports sent to our dedicated address are processed to evaluate our own domain.

6. Storage location

All data is processed and stored on a server located in Austria. There is no offloading to external cloud services.

7. Your rights

You have the rights of access (Art. 15), rectification (Art. 16), erasure (Art. 17), restriction of processing (Art. 18), data portability (Art. 20) and objection (Art. 21 GDPR). Simply contact office@digitalnova.at. To have a report deleted, quoting the report ID or the link is sufficient.

You also have the right to lodge a complaint with a supervisory authority. In Austria this is the Austrian Data Protection Authority, Barichgasse 40-42, 1030 Vienna, www.dsb.gv.at.
